Payment information
Trade show management will accept payments by Visa, MasterCard, American Express, check, cash or
money order.
July 14, 2023 - Priority point deadline. Must submit and make 50% deposit to receive early bird pricing
October 27, 2023 - Final booth payment due
Pricing information
Minimum booth size is 100 square feet and all second-story space is $7 per square foot. Each corner will be charged a $250 corner fee.
Early Bird - Before July 14
100 sqft to 599 sqft - $32.00 per square foot
600 sqft to 999 sqft - $31.00 per square foot
1,000 sqft and above - $30.00 per square foot
Regular Pricing - July 15
100 sqft to 599 sqft - $33.50 per square foot
600 sqft to 999 sqft - $32.50 per square foot

Cancelation Policy
If booth space is canceled before Oct. 27, 2023, show management will retain or collect 50% of the total booth
cost.
If booth space is canceled after Oct. 27, 2023, show management will retain or collect 100% of the total booth
cost.
All exhibits must conform to the International Association of Expositions and Events (IAEE) display guidelines adopted by show management. Partitions separating neighboring exhibits must remain intact.

Exhibitor insurance
General liability insurance is mandatory for all exhibitors. In order to exhibit, you must provide GCSAA Conference and Trade Show management with a certificate of public liability insurance at the time you submit your space contract. (See terms and conditions on your space contract or click link above.)
Purchase policy
If you do not have proof of insurance, show management has negotiated an attractive public liability insurance policy good for the 2024 trade show (Jan. 29 - Feb. 1) that you may purchase when the Exhibitor Service Kit is available.

For exhibitors with existing policies
If you elect not to purchase this policy, you must submit a certificate of insurance from your selected insurance carrier along with your space contract. Exhibitors should include in or have a rider attached to their insurance policies covering the period of time from the date of shipment, including the return/arrival date of the merchandise/display at the exhibitor's home base.

Expired policies
Exhibitors with insurance policies expiring prior to the 2024 trade show must submit an insurance certificate to show management before Dec. 29, 2023. This contract will not be enforceable without a certificate of insurance. Failure to provide a certificate of insurance will preclude the exhibitor from participating in the trade show.
Booth services
Badges
Four complimentary badges for every 100 square feet of booth space (not to exceed 280 badges).
Lead retrieval
All exhibitors receive access to complimentary lead retrieval to help gather and organize sales leads.
Qualified buyer list
Each exhibitor will receive complimentary access to a list of qualified buyer attendees prior to and after the 2024 GCSAA Conference and Trade Show.

Signage
For linear and perimeter booths, an identification sign listing your company name and booth number.
Backdrop, side rails
For linear and perimeter booths, pipe and drape backdrops and side rails.
Booth number stickers
Each booth receives 1-2 booth number stickers placed in the aisle to help attendees identify your booth.
Drayage
Your trade show site drayage costs are covered by trade show management, which currently bundles
drayage into the booth space fee, which saves you a significant amount of money and provides a valuable
benefit vs. other trade shows.
Exhibitor amenities
Freeman Concierge Elite
Using a PC or smartphone, access your booth information and interact with the Exhibitor Service Desk
via the Concierge Elite portal on the Freeman website.
Exhibitor business lounge
Relax or conduct meetings in complimentary, semi-private meeting rooms. In addition, trade show
management is available during trade show hours to assist with any questions or needs.
Interactive areas
Various interactive areas across the trade show floor give you a place to relax, network with colleagues
or attendees, and learn about design, construction and recreational resources available in
the industry.
Corporate suites
Clients participating in the Partner Recognition Program are offered the use of complimentary private
meetings rooms off the trade show floor.
Green initiative
Donate usable materials at the end of the event that otherwise might be thrown away or cost additional
shipping fees to send home. These donations benefit the local community and are an ecologically sound
and responsible recycling/reuse effort.
What is not included in the cost of my booth?
- Carpet or floor covering is REQUIRED for your booth, but is not included. You can rent carpet from
Freeman, the trade show’s official service contractor, or bring your own.
- Any furnishings (tables, chairs, etc.) can be ordered from Freeman, or you can bring your own.
- Any utilities (electricity, water, phone, Internet, etc.) must be ordered separately.
- Any audiovisual needs can be ordered from DMI, the trade show’s official provider.
- Additional services, such as floral, security and photography, can be ordered from the official contractors.
More about drayage
Drayage fees vary in range depending on the trade show location and are based on the weight of
an exhibitor’s booth structure and/or contents. Because it can be difficult to estimate/budget for drayage from year to year,
it is included in your space fee. Most trade shows do not include this service in their booth space fee, and we offer it to you to help ensure a successful event. Please see drayage and shipping instructions in the Standard Booth Equipment Provided section of the terms and conditions for more information about drayage fees.
